What we do with your information

In short

Who we are

C Parker Studios is responsible for the personal information collected through Dates to Remember. The site is run by the site's owner and C Parker Studios.

For questions or requests about your information, contact Christina Parker. Her contact address is at the top of the sign-in page and at the bottom of your list on the main page.

What we keep

We keep no payment details and no phone number.

Why

To show you your own list, to make printed family calendars, and to email you about your calendar (see "Emails from us"). The main reason to enter your dates here is to have them on a calendar. We use your information only for these purposes.

Your dates and calendars

When you enter a name and a date, you are asking us to use it to make calendars, and by entering it you agree to that. We do not ask for a separate permission each time a calendar is made.

If you enter information about another person, including a child, you are responsible for having their permission, or the right, to give it to us for this purpose. Please enter only dates you are happy to see on a family calendar.

If you would rather a date is not used, delete that entry, or ask us to delete your account and list.

Emails from us

We may use your sign-in email to write to you about your calendar, for example a reminder that you have not asked for a calendar yet. These emails come from C Parker Studios, from its own email account. They are written by a person, not sent automatically.

Each email will say how to stop getting them, and we will stop when you ask.

We do not use your information for marketing or newsletters. C Parker Studios has a separate sign-up for those on its own website, and nothing you enter here is added to it. We do not use your email for anything unrelated, and we do not give it to anyone else, apart from the services listed below that help us run the site.

Who can see it

You can see your list. So can the site's owner and C Parker Studios, who run the site. No other user can see your list. The site's owner can also read the entries directly in the database, to run and fix the site.

The person who makes calendars (a calendar administrator, who signs in with an extra check) can see the list of sign-in emails with how many entries each has.

When they choose to look, they can also read the first names, dates and types (birthday, anniversary or graduation) entered by any person with an account. They use them only to make calendars.

Each time they look, the site records the time, which administrator looked, and only a count, never a name or a date.

Calendars

C Parker Studios chooses which people go into each family calendar. A calendar shows first names only, and the day. For birthdays and anniversaries where you gave a year, it also shows a number (an age or years). Last names and email addresses are never printed.

Calendars are put together in the web browser of the administrator who makes them, on their own computer. The calendar files are not stored on the site: they are saved on the administrator's own computer. The site keeps only the header pictures and, for each order, the list of email addresses.

Once a calendar has been printed or sent by email, we cannot get back or change copies that have already been given out.

Services that handle the data

These services store or receive your information:

These services run the site or only see technical details, such as your internet address. They do not receive your names or dates:

Some of these services are based outside Canada and may handle technical details there. If you have questions about them, contact Christina Parker. We do not give your list to any other app or company.

Keeping information secure

We take reasonable steps to protect your information from being seen, used, shared, lost or destroyed by people who should not do so.

No other user can see your list. Only the site's owner can read the database directly. The calendar administrators can read only through the limited view described under "Who can see it", and they sign in with an extra check. Supabase, which hosts the database, also holds the data.

If something goes wrong with your information, we will act on it promptly and tell the people affected where this is required.

Backups

Once a day, a copy of the lists, the calendar orders, the email addresses in those orders, the admin access log and each account's sign-in email (with whether it is confirmed and when it was created) is saved on the site owner's own computer. The copies are protected by the disk's encryption and the computer's login password, in a folder that only the owner's account can open. They do not include passwords, and they are not stored on any cloud service.

Copies are kept for about 30 days and then deleted. If you ask us to delete your information, you stay in these copies until they are deleted, which can take about a month.

How long we keep things

We normally keep your account and entries while your account is active. If no calendar has been made using your entries for two years, we may delete your account and entries. We will email you first, and wait 30 days for an answer.

Access, correction and deleting your information

You can ask us what personal information we have about you, or ask us to correct information that is wrong. You can also ask us to delete your account and list. Contact Christina Parker, using the contact details on the main page. You can change or remove your own entries yourself at any time in your list.

When you ask us to delete, we will delete your account and list. We will remove your address from any calendar order not yet printed, and from older orders too if you ask. This is done by hand, so please allow a few days.

Backup copies are the one exception: they are deleted on their own after about 30 days (see "Backups"). We also cannot get back or change calendars that have already been printed or sent by email.

Changes

If we start using entries in a new way, we will tell you here and on the site before we do.
